One place for the important records

Create a digital folder with a simple printed contact sheet. Use clear labels: insurance, roof, air conditioning, plumbing, electrical, appliances, permits and community documents. Add the year to filenames so old and new records are easy to distinguish.

For each major system, keep the model and serial number, installer, installation date if known, service contact and warranty. If you do not know a date, mark it unknown rather than making an estimate look official.

Save evidence of completed work

After a repair or project, store the written scope, invoice, photographs and applicable permit or completion records together. Include any association approval connected with the work.

Collier County publishes permitting procedures and contractor-licensing resources. Use the correct county or municipal office for your address, and confirm the requirements for the actual work. A paid invoice and a completed permit are different records.

Make a maintenance calendar that fits your home

Use the equipment manufacturers’ instructions and your service professionals’ advice to set reminders. Add renewals and inspections, and keep the list specific to what the property has rather than copying a generic schedule.

A useful recurring task is reviewing whether contact details, policy documents and service arrangements are still current. Put the person to call beside each task so the next step is obvious.

Keep insurance information accessible

Florida DFS offers a homeowners toolkit with inventory and insurance-record resources. A current inventory can help you describe your belongings if you need to discuss a loss with an insurer.

Keep a protected backup accessible away from the house. Do not put sensitive account numbers or identity documents in a publicly shared folder. Share only the records a contractor, buyer or professional actually needs.

The goal is modest: when a problem occurs or you decide to move, you can find the relevant document without starting a search through years of email.
